GearSnap

GearSnap compares a rental item's checkout and return photos automatically and tells a small rental business exactly what's new damage, then drafts a customer-ready invoice with the visual proof attached.

Idea

GearSnap compares a rental item's checkout and return photos automatically and tells a small rental business exactly what's new damage, then drafts a customer-ready invoice with the visual proof attached. It plugs into whatever booking tool a shop already uses (Booqable, TapGoods, EZRentOut, Cheqroom, RentMy) as a lightweight add-on, not a platform switch. Snap photos at checkout, snap photos at return, and GearSnap flags new scratches, cracks, stains, or missing parts in seconds instead of an owner squinting at two photo folders.

Market gap

Small independent rental businesses (party and event rental, tool rental, AV and production gear rental) run on lightweight, affordable booking software. That software handles reservations, contracts, and payments well, but photo documentation is still a manual folder of before and after pictures that someone has to compare by eye. Meanwhile the one company that built real AI-powered damage detection for rentals, Record360, was built for and sold to national chains like Sunbelt Rentals, Herc, and Aim Leasing through a sales-assisted, demo-only motion, and was acquired by Point of Rental Software in February 2024, folding it further into the enterprise tier. A single-location party rental shop or tool rental yard has no self-serve way to get the same automated comparison. The timing is right because the booking-software layer for small rental shops has matured (Booqable alone serves 8,000-plus businesses worldwide) while the damage-documentation layer on top of it has not moved past manual photo uploads.

Total Addressable Market (TAM)

Bottom-up, US-only:

  • Tool & Equipment Rental industry: 13,749 businesses, $5.7B market size in 2026 (IBISWorld).
  • Party Supply Rental industry: 7,390 businesses, $8.5B revenue in 2026 (industry data cited by Kande Photo Booths' 2026 Party Rental Industry Statistics report).
  • Combined target population: 21,139 US businesses.
  • Assumption: average self-serve ACV of $948/year ($79/month, blended across Starter and Growth tiers).
  • TAM = 21,139 x $948 = approximately $20M/year.

SAM: businesses in that population already running a modern SaaS booking platform (the integration surface GearSnap needs). Booqable alone discloses 8,000-plus customers worldwide; assuming roughly 40% are US-based (~3,200) and that TapGoods, EZRentOut, Cheqroom, RentMy, and Quipli collectively serve a similar or larger number, a conservative SAM estimate is 9,000 US businesses already on a SaaS rental platform. SAM = 9,000 x $948 = approximately $8.5M/year.

SOM: realistic 3-year capture at 3% of SAM = 270 businesses x $948 = approximately $256K ARR. That is the honest early ceiling for a 1 to 3 person team; the TAM headroom sits in the 18,000-plus businesses not yet on a SaaS platform that could be brought in over time, plus international expansion (Booqable itself is Netherlands-based with a global customer base).

Monetization strategy

Monthly subscription SaaS, billed per location. The rental business owner pays; GearSnap never touches the end customer's wallet. Owners keep paying because every dispute GearSnap wins back pays for months of subscription in one damage invoice, and because the free photo checker keeps reminding them what manual comparison costs them in time.

Pricing strategy

  • Starter: $49/month. One location, up to 100 checkout-and-return photo pairs a month, AI damage flagging, shareable damage report link.
  • Growth (anchor): $99/month. Up to 500 photo pairs a month, branded PDF reports, team seats for multiple staff snapping photos.
  • Multi-location: $149/month per additional location, for the small multi-location tool or party rental chains (5 to 10 locations) still too small for Record360's enterprise sales motion.
  • Entry point: the free no-signup Damage Dispute Photo Checker, capped at one comparison a day, no credit card.

Lead magnet

A free, no-signup Damage Dispute Photo Checker: upload one checkout photo and one return photo of the same item, get an instant AI-highlighted diff image and a one-paragraph, dispute-ready damage description in under a minute. Capped at one free comparison per day per browser. This gives an owner mid-argument with a customer today something usable before they ever hear a sales pitch.

Social proof that the problem exists

Competitors

  • Record360 (now part of Point of Rental Software, acquired February 2024): AI-assisted mobile inspection and photo documentation for heavy equipment, truck and trailer, and auto rental fleets. Customers include Sunbelt Rentals, Herc, and Aim Leasing. Sales-assisted only, no published self-serve pricing, "Get a Demo" is the only path in.
  • InTempo Software: Rental ERP with a condition-photo feature buried inside a much larger back-office system (contracts, billing, maintenance). InTempo Core starts around $200/month for smaller businesses, but it is a full platform switch, not a lightweight add-on.
  • Booqable: The leading booking and inventory platform for small party, AV, and tool rental shops, with 8,000-plus customers worldwide. Supports manual photo attachments to orders, no automated before-and-after comparison or damage flagging.
  • TapGoods: Similar SMB-tier event and equipment rental software. Its own documentation recommends manual physical damage reports with photo uploads, no AI comparison.
  • EZRentOut / Cheqroom: Asset and equipment tracking tools with maintenance logs and condition tags, but assessing whether new damage occurred is still a manual look-at-the-photo step, not an automated flag-and-invoice pipeline.

What competitors offer now

Two tiers exist today, with nothing in between. At the top, Record360 and InTempo sell full AI-assisted or ERP-grade documentation, but only through custom sales quotes to multi-location or national accounts. At the bottom, Booqable, TapGoods, EZRentOut, and Cheqroom give small shops a place to store photos, but comparing them for new damage is still a human task. None of the small-shop tools compare checkout and return photos automatically or generate a damage report on their own.

What can be done differently to attract customers

Sell as a bolt-on, never a replacement. A rental shop that already likes Booqable or TapGoods should never have to migrate off it to get damage detection. GearSnap attaches to an existing rental by pasting the order link or number, so there is no data migration and no lost history. No sales calls, no demo gatekeeping, month-to-month billing, and the free photo checker means an owner in the middle of a real dispute gets a usable answer in under a minute, today, before they have ever heard of GearSnap as a company.
